Best Invoice Software in India (2026) — Honest Ranking by Use-Case

We compare 7 invoice tools — Vyapar, Tally, myBillBook, Zoho Invoice, ClearOne, Refrens, 21bill — for Indian SMBs. Ranked by 6 use-cases, not by who pays for the listing.

There are two kinds of “best invoice software” lists online. The first is paid placement — listicles where the top spot belongs to whoever has the biggest affiliate budget. The second is honest comparison written by someone who’s actually used the tools.

This is the second kind. We sell 21bill, so we have a bias — we’ll be upfront about it, and we won’t put ourselves on top of every category. Some of these tools are genuinely better than us in their lane.

How we ranked

Six use-cases that cover 95% of Indian SMB invoicing needs:

Use-case 1 — Single-shop kirana / retail

Winner: Vyapar

For a single shopkeeper doing counter billing on a phone, nothing beats Vyapar’s native Android app. 10+ million Play Store installs, ₹0 entry on the free tier, retail-tuned UX (item search, qty input, payment mode in three taps), works offline.

21bill is worse here: we’re browser-based with no native Android app yet. Even though our PWA installs to home screen, the experience isn’t as polished as Vyapar’s purpose-built app for fast counter throughput.

Use-case 2 — Service professionals / freelancers

Winner: 21bill or Refrens

For a consultant or freelancer billing 5-30 clients a month:

  • Refrens wins on quick proforma + recurring invoice setup; clean public-link sharing.
  • 21bill wins on full GSTR-1 JSON in the ₹99 tier + proper SAC code handling + multi-user when the team grows.

If you’re a solo freelancer issuing 1-3 invoices/month, Refrens’ free tier may genuinely cost zero. If you’re a 3-person agency or doing 10+ invoices/month, 21bill’s per-month pricing is more predictable and the SAC directory is more useful.

Use-case 3 — Textile / B2B wholesalers

Winner: 21bill or Tally Prime

B2B wholesale needs proper buyer GSTIN handling, IGST vs CGST/SGST split by place of supply, e-way bill reference, and bulk invoice creation.

  • Tally Prime wins for businesses with complex accounting, ledgers, multi-company.
  • 21bill wins on simpler workflows + per-month pricing + browser-based access from CA’s office.

Use-case 4 — Multi-user team

Winner: 21bill (₹299 Business plan)

5 users with role-based access (admin / manager / billing / sales / viewer) at ₹299/month. Every destructive action audited.

Tally Prime also handles multi-user but at ₹18,000+/year baseline. myBillBook has multi-user at higher tiers. Vyapar retrofitted multi-user later — single-user remains the dominant pattern.

Use-case 5 — Multi-company / accounting-heavy

Winner: Tally Prime

If you have 2+ GSTINs, complex ledgers, P&L by cost-centre, fixed-asset schedules — Tally is unbeatable. It’s been the default for Indian CAs for 30 years for a reason.

21bill is not the right fit here. We’re billing-first; if your CA wants ledgers + trial balance + balance sheet, you need an accounting tool, not a billing tool. Don’t try to retrofit one onto the other.

Use-case 6 — Compliance-first (audit trail, scrutiny-ready)

Winner: 21bill or ClearOne

For a business that’s been scrutinised before, or runs in a sector that gets audited (electronics, jewellery, textiles), audit-trail completeness matters more than feature checklist.

  • 21bill logs every invoice mutation, every GSTR JSON download (with SHA-256 hash + downloader + timestamp), every role-based action.
  • ClearOne is tighter on GSTR-2B reconciliation (auto-matching purchases against your suppliers’ GSTR-1 filings).

If you’re below ₹5 Cr turnover and don’t need e-invoicing, 21bill suffices. Above ₹5 Cr you need IRP integration — ClearOne or Tally + GSP combo.

Cheapest fully-featured cloud option for a single-user business: 21bill Starter at ₹1,188/year. Cheapest with multi-user: 21bill Business at ₹3,588/year. Tally is in a different price bracket because it includes accounting.

What we won’t claim

  • 21bill is not the best for everyone. If you’re a single-phone kirana, get Vyapar. If you have 3 GSTINs and complex ledgers, get Tally.
  • 21bill does not have native Android/iOS apps yet. PWA only. If you’re 100% mobile, that may matter.
  • 21bill does not have e-invoicing IRP integration. Above ₹5 Cr turnover, you need a different tool or a GSP pairing.
  • 21bill does not have multi-currency in the form UI yet (schema supports it). If you bill USD, EUR, AED clients regularly, our roadmap has it but Zoho ships it today.

How to decide in 5 minutes

  1. Single phone, single shop, ₹0 budget? → Vyapar free.
  2. Browser-based, GST-compliant, invite-only? → 21bill (request access).
  3. Need full accounting, not just billing? → Tally or Zoho Books.
  4. Above ₹5 Cr turnover? → ClearOne / ClearTax or Tally + ClearTax GSP.
  5. Solo freelancer, 1-3 invoices/month? → Refrens free or Zoho Invoice free.
